Building an ad swipe file your creative team will use

Most swipe files die within two months: they become a folder of a hundred images nobody opens. The reason is that they are organised by source rather than by the problem to be solved. An edit team never looks for "brand X's ads"; they look for "how to open a video about being expensive".
Organise by problem, not by brand
A structure that works:
swipe-file/
openings/
direct-question/
name-the-problem/
result-first/
handling-objections/
too-expensive/
does-not-believe-it-works/
already-uses-something-else/
talking-about-price/
calls-to-action/
One ad can live in several folders. That is normal and it is the point.
Five fields per entry
Do not just save the image. Record five fields, because in three months you will not remember why you saved it:
| Field | Example |
|---|---|
| First three seconds, verbatim | "Clothes bought online always arrive too big" |
| Problem named | sizing is wrong when buying online |
| Evidence | side-by-side on real people, two body types |
| Days running | 140 |
| Landing page | dedicated product page, not the homepage |
The fourth field is the most important and the most often skipped. An ad running 140 days is worth studying; one running 4 days is not. See a long-running ad is a profitable ad.
A monthly update routine
Thirty minutes a month is enough:
- Run multi-platform ad radar — 20 credits, 60 ads — for your three main competitors.
- Filter for ads new since last month and ads alive over 90 days.
- Dissect five of them using the frame in dissecting a winning creative.
- Delete entries over a year old that are no longer relevant. A swipe file that only grows is a dead swipe file.
Step 4 is the one nobody does, and it is why most swipe files become useless.
The copyright boundary
Saving material for internal reference is ordinary. Reusing somebody else's creative in your own advertising is not — it is their content. See downloading TikTok videos and when it is allowed.
And do not distribute the swipe file outside the company as a collection. Creating collections of works falls outside the personal-copy exceptions in the law.
Frequently asked questions
How many entries should I keep? Fewer entries with complete notes beat many with only images. Fifty entries with five fields are more useful than five hundred bare images.
Should I save ads from outside my industry? Yes, for the openings folder. Not for the talking-about-price folder.
Who should own the swipe file? Whoever writes the brief, not whoever edits. It is a briefing tool.
